How to Link Gmail Accounts

This article on Make Use Of goes part way to explaining what we do with the Easy-Email Email sync solution.

By managing all of your email addresses in one Gmail account – ie in one window – you save a lot of time and hassle logging in and out. Definition of Email Sync

I’ve noticed many videos and articles supposedly about synchronizing email but many are not truly synchronization solutions. So I’ll define what email sync means as we describe it:

Email is sync’d across 2 or more computers

Email is synchronized on the same program on different computers or on different programs on different computers

It’s a two way sync. You can manage Outlook from Gmail or Gmail from Outlook. (many of the sites I’m talking about show how to manage e.g. Hotmail from Outlook but not the other way around)

It’s background synchronization. No cables to plug in, no turning anything on… as soon as you send, move or delete an email this action is reflected on the other program.

Sync Email the easy way using Gmail IMAP

The solution we show you is based on using Gmail IMAP as the sync server, or synchronization hub.

There are no doubt other options out there but from our research this is the most reasonable in terms of cost and offers a wider range of benefits than most options that are double the price!

Gmail is a very powerful webmail client and offers 7.5Gb of storage for free. It also gives you the IMAP technology for free. It’s IMAP that allows synchronization between Gmail and the email client.

Email Sync – the best of webmail and the best of an email client

Many people use webmail and an email client for different purposes. The most common scenario is to use an email client at work – Outlook for example – and a webmail client for personal email – Yahoo, Hotmail or Gmail are the most common.

Because it’s so hard to access Outlook email from one’s home computer (unless via vpn access of some sort which tends to be slow), many people resort to emailing themselves from their work email address – let’s call it me@business.com for this example – to their personal address – me@yahoo.com.

And others even tell clients to email them on their yahoo address while they are out of the office as it’s easier than trying to link up to Exchange from a hotel room (if the company has Exchange or similar because face it, it’s not a giveaway!).

The key advantage of using webmail such as Yahoo is that you can log in via the internet on any computer. The disadvantage is that you don’t have access to any emails if you don’t have internet access. You can’t look up your flight details while in a taxi, you can’t compose emails while sitting on a train.

And email clients have almost  the opposite advantages and disadvantages. The advantages are you can work offline, you have quick and easy attachment handling but, unless you have a system set up like the one we are showing you, you can’t access your email from multiple computers.

Many people try to combat this by simply using a laptop and carrying it everywhere (not great for your back or ergonomics) or by accessing email from in iPhone or Blackberry. This is all very well if you just need to send quick responses but if you actually want to prepare a quote or give a detailed answer so someone it’s a pain in the neck.

So the solution is Email Sync!  By synchronizing your email client and your webmail via Gmail you get to work offline on your own computers and use the email client you are used to on as many computers as you want AND you get to email from any computer using Gmail.  (I know it’s also webmail but it offers added technology that the others don’t).
